Add Sites to an Existing Scheduled Service Agreement
Overview
Expand a live Scheduled Service agreement to cover additional locations, assign services and vendors, configure pricing, and set up invoice schedules, all without creating a new contract.
Before you begin
You need an active Scheduled Service with at least one existing site, and the new sites must already exist in the system under the same Client. Navigate to Product & Services > Scheduled Services > Current > Edit Agreement.
Steps
- Open the agreement. Go to Product & Services > Scheduled Services > Current. Locate the agreement and click the edit icon (pencil) on the right side to open the Scheduled Service wizard.
- Navigate to Choose Sites. Scroll through the existing invoice structure and click Continue at the bottom of the page until you reach the Choose Site(s) step.
- Select new sites. On the Choose Site(s) screen, select sites from the Available list on the left. Use the transfer arrows to move them to the Selected column on the right. Click Save.
- Assign services. Back in the editor, click the + icon on each new site row to open the Assign Services modal. Fill in the Service Name, Rate Type, and Generic Item Name.
- Configure rates. In the Assign Services Rate modal, set the Service Name, Type, Priority, Vendor, Client PM Rate, and Vendor PM Rate. Click Save.
- Set invoice frequency. Each new site gets its own Invoice Scheduler row. The system generates monthly invoices based on the Client PM Rate you configured. Review the per-invoice total and vendor rate for accuracy.
- Configure work order settings. Click Work Order Settings on each site row. Set the work order frequency, schedule, and whether to auto-dispatch to the assigned vendor.
- Review generated invoices. Click Continue to see the invoice preview. Each invoice shows the date, item name, description, price, quantity, and line total. Verify these match the intended billing structure.
- Save and finish. Click Continue on the invoice review page. A confirmation reads "Your scheduled service has been saved." Click Finish to return to the main view.
Verify your changes
After saving, return to the Scheduled Service detail page and confirm the Total Contract Value has increased, the new sites appear in the work order description list, and the version number has incremented.
Key fields in the agreement editor
- Total Contract Value. The sum of all invoice scheduler totals across every site. Updates dynamically as you add or remove sites and adjust pricing.
- Per Invoice Total. The client-facing amount billed per invoice cycle for a specific site. Set in the Invoice Scheduler row.
- Estimated Vendor Rate. The amount paid to the assigned vendor for each service cycle. Set during service rate assignment.
- Client PM Rate. The rate charged to the client per month, shown alongside the Vendor PM Rate in the expanded service detail view.
- Auto Dispatch. When enabled, work orders are automatically dispatched to the assigned vendor when generated. Toggle per site in the service detail panel.
Good to know
- New sites inherit the agreement schedule but require individual service and rate assignment.
- Invoice schedulers are created automatically for each new site. Configure the frequency and amounts before saving.
- Use the Site filter at the top of the editor to quickly locate and verify newly added sites.
- Bulk actions save time. Use Bulk Assign Services to assign the same service and vendor across multiple new sites at once, and Bulk Work Order Settings to apply scheduling configuration in a single step. Both are at the top of the agreement editor next to the Total Contract Value display.
